This Privacy Policy explains how Samdos Technologies GC (“Samdos”, “we”, “us” or “the Company”) collects, uses, stores, shares and protects personal data when you use the Samdos Event Application and this website.

1. Who We Are

Samdos Technologies GC is a Nigerian technology company (RC: 3400177) based in Lagos that operates the Samdos Event Application. For personal data that Organizers collect from their Attendees, the Organizer is responsible for deciding why and how it is used, and the Company processes it on the Organizer's behalf to provide the Service.

2. Information We Collect

We collect only what is needed to run events and keep the Service safe.

  • Organizers: name, email address, phone number, address and profile details, identification details given during profile set-up, passport photograph, organization name, type, address, logo and website, and the Flutterwave secret key you choose to connect (stored encrypted).
  • Attendees: name, email address, phone number, gender (optional), the tickets chosen, the date or appointment chosen, a passport photograph where the Organizer requires one, and check-in and check-out times.
  • Payments: transaction reference, amount, status and time. Card and bank details are entered on Flutterwave's secure pages and are never stored by us.
  • Technical data: IP address, browser and device information, security logs and cookies used to keep you signed in and protect your account.
  • Communications: messages you send us and the emails the Service sends on your behalf, such as tickets, invitations and receipts.

3. How We Use Your Information

  • to create and manage accounts and organizations;
  • to publish events, take registrations, issue QR tickets and record check-in;
  • to process payments and keep accurate payment records;
  • to send tickets, invitations, receipts, security codes and service messages;
  • to give Organizers their registration, payment and check-in reports and analytics;
  • to prevent fraud and abuse, secure the Service and meet legal obligations;
  • to support users and improve the Service.

4. Lawful Basis

We process personal data under the Nigeria Data Protection Act 2023 on the basis of contract (to provide the Service you asked for), legitimate interests (security, fraud prevention and improvement), legal obligation and, where required, consent.

5. Cookies

We use essential cookies to keep you signed in, protect forms against forgery and remember a trusted device for two-factor authentication, and a preference cookie for your theme. We do not use cookies to sell your data. You can block cookies in your browser, but parts of the Service may then not work.

6. How We Share Information

We do not sell personal data. We share it only as follows:

  • With the Organizer: Attendees' registration, payment status and check-in details are available to the Organizer of the Event they registered for.
  • With service providers that help us run the Service: Flutterwave (payments), Amazon Web Services (file storage and email delivery), Cloudinary (image hosting) and MongoDB Atlas (database hosting).
  • For legal reasons: where required by law, court order or a lawful request by a regulator, or to protect rights, safety and the Service.

7. Retention

We keep personal data for as long as your account is active and as needed to provide the Service, keep payment records and meet legal obligations. Security logs are kept for a limited period. When data is no longer needed we delete or anonymise it.

8. International Transfers

Our providers may store or process data outside Nigeria. Where that happens we take steps to make sure the data is protected as required by the Nigeria Data Protection Act 2023.

9. Security

We protect data with encrypted connections, hashed passwords, encrypted storage of sensitive keys, two-factor authentication, access controls and monitoring. No system is completely secure, so please keep your password and codes private and tell us at once if you suspect a problem.

10. Your Rights

Under the Nigeria Data Protection Act 2023 you may, subject to the law:

  • ask whether we hold your personal data and get a copy;
  • ask us to correct inaccurate or incomplete data;
  • ask us to delete data, or restrict or object to its use;
  • withdraw consent you gave, without affecting earlier use;
  • complain to the Nigeria Data Protection Commission.

For data an Organizer collected about you as an Attendee, you can also ask that Organizer directly. To use your rights with us, contact us.

11. Children

The Service is not directed at children under 13 and Organizers should not collect data from them without a parent or guardian's consent. If you believe a child's data was collected without consent, contact us and we will act on it.
